Reader question: What should a small team keep after an AI-noted meeting, who can see it, and when should it stop being trusted?

An AI meeting summary is easy to mistake for the official record because it arrives beside the recording, transcript, and chat. Those are different objects. A summary is a convenience layer, a transcript is machine-readable speech, a recording is media, and shared notes are a collaborative workspace. None of those labels tells a team what was actually decided.

This matters now because current Microsoft Teams documentation puts recordings, transcripts, shared files, notes, summaries, agendas, and follow-up tasks inside a meeting recap, while giving them different access and retention behavior. The practical answer is a small handoff packet: a checked account of what another person needs to do, with a source pointer and a limit on how much confidence to place in it.

Capture the work that can leave the room

Do not ask the note to preserve every sentence. Ask it to preserve the parts that change work.

The minimum packet should contain:

  • Purpose and date: what the meeting was for and which meeting the note describes.
  • Confirmed decisions: the decision, its owner, and when it takes effect.
  • Actions: one named owner, due date or next check-in, and expected deliverable.
  • Open questions: unresolved points and facts that still need evidence.
  • Source and audience: where a disputed point can be checked and who may read the handoff.

Add a status field. “AI draft,” “confirmed,” “open,” and “withdrawn” are more useful than a smooth paragraph that makes every sentence sound settled. A model can turn a suggestion into a commitment simply by placing it under “decisions.”

Illustrative edge case: a 30-minute planning call contains a tentative launch date and a vendor’s confidential price. If the AI summary places both under “key decisions,” the owner marks the date open, moves the price to the restricted commercial record, and sends only ready actions. The transcript is a source to check, not a reason to circulate every detail.

Decide who can see the note before you share it

Visibility is part of the content. An accurate note sent to the wrong audience is still a failed handoff.

Teams’ meeting notes are collaborative. People in the meeting can view them live, add or change them, assign tasks, and continue editing after the meeting. Changes appear automatically to everyone invited to the meeting. Microsoft’s meeting-notes guidance

That behavior is useful for internal planning, but a poor fit for a restricted decision log unless the invite list and note location are checked. Use a controlled project or file for final decisions containing client terms, personnel information, or unreleased plans.

For a Teams recording, transcript, AI recap, and transcript-based Copilot access, organizers can choose Everyone, Organizers and co-organizers, or Specific people. The documented default is Everyone in the meeting. The setting requires a Copilot or Teams Premium license, does not apply to channel or ad hoc meetings, and does not override later permission changes made through SharePoint, sensitivity labels, or other methods. Check the audience for the note and the source separately. Someone may need the action list without receiving the recording. An external guest may need a direct recording link while the recap remains limited by invite and organization rules. Never infer that a link, license, or attendance makes every recap element visible.

Know what recording and retention controls promise

A provider control is a boundary, not a durable-record guarantee.

In Teams, a non-channel meeting recording is stored in the organizer’s OneDrive for Business. A channel meeting recording is stored in the channel’s SharePoint site. An IT administrator sets the expiration period, and an organizer can change the recording’s expiration date. The recap page adds two limits. AI-generated notes and tasks expire according to organization policy, so the provider directs users to their IT administrator. So “saved” does not mean “retained for the project,” and a recording does not guarantee a summary. A policy in one workspace does not establish the policy in another. Put a retention check date in the packet, and store an approved decision in the team’s normal source of truth when it must outlive a meeting artifact.

Treat the transcript and recording as evidence to inspect, not an automatic correction mechanism. If a key sentence cannot be confirmed, it stays open.

Give the process an owner and a handoff

The owner is usually the organizer or a named note steward. Before the meeting, that person confirms purpose, audience, and whether recording or transcription is allowed under team policy. Provider settings do not answer whether a participant should be recorded; local rules and agreements still matter.

Afterward, the owner checks decisions and assignments against the source, marks uncertainty, removes unnecessary detail, verifies access, and records the expected expiration or review date. The owner does not promise more retention than the documented policy.

The handoff contains the packet, the canonical destination for confirmed decisions, and a source link with its audience noted. Send actions to their owners. Keep the raw recording and transcript where permissions can be managed; copy durable decisions into that destination rather than relying on a recap tile.

Stop when the source boundary is unclear

Stop when there is no source to check, the wording conflicts with participant memory, the access list cannot be verified, a sensitive detail has no approved destination, or expiration and recovery are unknown.

Label the note unconfirmed, assign someone to resolve it, and do not forward it as a commitment. A missing answer is safer than a polished sentence that changes who agreed to what.

AI meeting notes are most useful when they reduce the cost of remembering without taking ownership of the decision. Capture the work that can leave the room. Keep the audience visible. Treat recording and retention controls as bounded provider behavior. Then hand off only what someone has checked and can still find.
